Let us understand a negative person.

Our past and present sanskara makes us negative. What is sanskara? Sanskara are experiences that we are carry-on from past and present circumstances. These are like data on hard disk, which comes live, every time you fire your PC. This data can be read, modified or deleted. Our physical shape, thinking and acting is influenced by our past and present sanskara.

Negative person, when responding to a situation, consciously or sub consciously pulls out similar past experiences and through intellect decides how to handle the situation, then direct mind to react to present situation through our body.

We will continue to react in this way, unless we open our mind to new ideas. Until this happens, our past will continue to determine our future.
So, coming back to handling negative person in office setting.

When we interact with a negative person, we also inherit negative sanskara by reacting negatively. If you understand above process, we will ignore underlying negativity and analyze actual issue bought forward by negative person and be able to provide a balanced solution. This will result in your improvement as well as of negative person.
